Industry Report - Restaurant Management Software for 2022

CloudRank™ system is a unique algorithm that our research team uses to evaluate Restaurant Management Software solutions in a detailed and accurate way. The Summer 2022 edition of the ranking was prepared by Nestor Gilbert, our leading expert in the field of Restaurant Management Software, who has authored 1380+ product reviews in this category. The goal of CloudRank™ is to present an unbiased, multi-layered perspective on Restaurant Management Software, considering a wide range of metrics and factors, and educating potentiala customers about both opportunities and challenges associated with each piece of software.

In order to achieve full objectivity the position in our CloudRank™ is based on:

  • Expert Score: which involves extensive analysis by our internal team which carefully examined all key elements of each software and testing it in real-life situations
  • User Score: which involves an aggregated opinion of actual users of each product whose identity was properly verified
  • Market Position: which involves general recognition of a given vendor on the market and reflects its overall popularity and reach
What do the tiers in CloudRank™ mean?

What do the tiers in CloudRank™ mean?

We’ve calculated a score for each product based on the average experience shared by our users in their product reviews and arranged the list in three tiers. You can see the methodology below on how the calculations were made.

  • Leaders: those with a User Score of 8.2 or higher; this tier includes products that are currently leaders on the market and are appreciated by both experts and actual users. They always represent the best of what the Restaurant Management Software market has to offer and are all worth trying out if you’re looking for a reliable solution.
  • Contenders: those with a User Score between 7.5 and 8.2; this tier includes high-quality products that still have some minor drawbacks that prevent them from becoming leaders on the market. They always represent well-designed tools that, over time, will most likely develop into market leaders as the missing features are added.
  • Rising Stars: those with a User Score between 6 and 7.5; this tier includes products that have high-potential but still lack some crucial features or services expected from a leading solution. They are products with solid foundations and a vision that makes us eager to see what they will become as their solution improves in the future.

Regardless of their tier, all products included in our CloudRank™ are popular, quality products considered top-performers by our team of experts. Make sure you read a more detailed review of each solution to find one that will work best for your specific needs and budget.

How did we select products for this Restaurant Management Software report?

The Summer 2022 version of the report includes a total of 23 Restaurant Management Software products that were compared and analyzed by our team. We selected them based on the following factors:

  • Popularity of a given brand in the SaaS market (based on our own market research)
  • How popular a given brand is among FinancesOnline users (based on number of mothly readers for each review page)
  • Availability of statistical data generated from user reviews of a particular product (we excluded products with not enough data to draw meaningful conclusions)
  • The current listing reflects the state of our database and research as of June 2022. An updated version of the report will be released quarterly to keep data fresh and incorporate information about shifts and changing trends in the market.

What are the current Restaurant Management Software trends?

Online ordering continues to expand as an option for off-premise dining.

Although online ordering and delivery services for restaurants aren’t new, there is an uptick in the demand being met by QSRs, restaurant chains, and even food trucks. Online food ordering can be done ahead of time, and then the food is consumed when the customer gets to the restaurant. This reduces the wait time and arguably increases guest experience satisfaction, but the online ordering transaction typically ends with pick-up or delivery options. Restaurant customers are opting to stay at home and dine off-premise. Online delivery platforms (more on this later) are meeting the increasingly growing demand of getting food from a favorite restaurant without leaving their homes: 45% prefer to order online for the convenience, the option of personalizing food preference or dietary restrictions, and the availability of multiple payment options.

The online preference over traditional on-premise dining or takeout presents some benefits. Deloitte found that online ordering increases spending by up to 26% for QSRs and 13% for fast-casual restaurants.

Source: Zion Market Research

The use of AI and voice-assisted technology continues to rise.

Ordering kiosks have been in use for over a decade but it is only recently that the restaurant space has been adopting the technology. After all, people under 35 years old—Millennials and Generation Z—will make up 60% of the population in 2020. Both generations are the core of the workforce, will make more money, and are early technology adopters. Another reason is the popularity of Alexa and Siri—voice-assisted technology that people of all ages easily took to.

Now put these things together and you’ve got AI or voice-assisted kiosks that can process orders without pressing any buttons on the screen. The order interaction can begin with a “hello” or a response from the customer after the kiosk prompts them. The interaction can also be stored after a prompt from the kiosk. Previous order history can be displayed or accessed when the customer uses the same kiosk, or uses the same system to order from a different location, or places the same order. The preferences can be added to a CRM and improve the speed of service, current or future, and the guest experience expectations are met and exceeded.

The future of third-party food delivery platforms is RMS integration.

An offshoot of online ordering is food delivery service platforms. These food delivery apps have continued to grow with eMarketer projecting food delivery app use in 2019 to reach 40 million users in the US. 2020 forecasts are estimated to go beyond 44 million users and 60 million users by 2023. These figures mean big business for the top three food delivery service apps—DoorDash, GrubHub, and UberEats. PostMates, Caviar, and Seamless are not far behind, engaging more users and cutting into the other three’s market share.

Restaurant management software developers are moving to provide inhouse food delivery solutions instead of using third-party integrations. This is the direction Square Restaurants is taking with Caviar and Revel Systems with their customizable and branded online ordering platform. With inhouse software, the restaurant is in control of pricing and markup for delivery charges, which are a point of contention between providers and users of the service. In the meantime, third party food delivery service platforms are king, but it won’t be long before RMS providers aggressively pursue in-house solutions that they have total control of.

Restaurant management software can be used by restaurant owners and employees to manage the operations of their food service establishment. But how do you select the best restaurant management software solution from the numerous good quality platforms available in the market? To help you make informed comparisons, we have prepared this detailed buyer’s guide which tells you the features and factors to look for in your search.

Benefits of Restaurant Management Software

Using a dedicated software solution to manage your restaurant offers a host of benefits compared to utilizing Excel spreadsheets or paper processes. These benefits include:

Accurate forecasting

Restaurant management solutions use historical data to give accurate forecasts of future sales, inventory needs, and other factors. You can analyze your numbers and view them in multiple ways to discover new trends.

Less number of errors

The software flags entries that look suspicious and also creates audit trails to give your accurate and complete information.

Enhanced flexibility

Cloud-based programs allow any time, anywhere access from any internet-ready device. You can switch an employee’s schedule or generate reports from home or outside.

More effective communication

Individual user logins keep your employees updated with the information and tasks related to them. Automated reminders can ensure employees do not forget about their shift schedules and timings.

Minimizes duplicate entry

You don’t have to transfer labor expenses and inventory numbers manually into your accounting ledger as restaurant management systems can do it automatically. Plus, seamless integration between business systems ensures you don’t have to enter data twice, saving a lot of time.

Investments in new technology

Similar to other sectors, the restaurant industry has also benefited from emerging innovative tools and technologies that bolster business practices. For example, SaaS solutions are more flexible and less expensive compared to conventional systems. Plus, they provide remote access and management capabilities.

Mobile POS

Restaurants are using mobile POS because owners realize that inefficient ordering processes impact customer service. A mobile POS solution helps servers to send orders to the kitchen instantly and accurately. This reduces the errors between servers and the kitchen and bar, as well as general errors.

Potential Issues

Waste of time

POS systems can sometimes huge time wasters and take chefs and managers away from the main task of service to the guest. Perpetual recipe/inventory solutions need a lot of work for setup and data entry and abound with glitches. They are not useful to small restaurants and are more suitable for large resort/convention hotels that host multiple food and beverage outlets.

Expensive systems

Restaurant management POS systems can be expensive for small outlets as you need to shell out a lot of money for installation, setup, and training. Service contracts are costly and you need to pay extra for service/tech support which may cost hundreds of dollars per hour. Thus, these restaurant management tools can be too expensive for small chef- or family-owned operations and are more suitable for large restaurants.

Restaurant Management Systems vs. Point-of-Sale Systems

A point-of-sale (POS) system is developed to handle transactions. It includes a database of products and their prices to simplify the processing of purchases, returns, or exchanges. Modern POS apps are also available on mobile devices, so there is no need to install hardware.

On the other hand, restaurant management software is designed for businesses in the food and hospitality industries. It usually includes a POS module or has the ability to integrate with a third-party app. On top of that, it also comes with features such as labor management, inventory management, reservation system, payment processing, billing, and more. Managers can also generate reports and monitor real-time insights for data-driven decision-making.

Factors to Consider when Choosing a Restaurant Management Software

A restaurant management system will be used to manage your daily operations. That is why you need to make sure that it can handle your business’ specific needs. Here are a few factors to consider when choosing the right RMS:

  • Usability. You and your staff should be able to understand and use the system without the need for extensive training. The interface should be intuitive so you can focus on providing top-notch services.
  • Scalability. The platform should be able to handle a growing business. It should enable you to add new terminals, users, and customers. Modern RMS also comes with add-ons and advanced functionalities for growing businesses.
  • Type. RMS comes in different types and functionalities. Some only work on specific devices, such as Android or Apple. Additionally, others can be customized to adapt to your workflow.
  • Integration. While an end-to-end system can do a lot of things, you may need features not available on the platform. As such, it should be able to integrate with other applications so you can extend its functions.

Things to consider when you invest in a SaaS

The first and most important thing is to make sure the app is appropriate for your firm’s requirements. Do not worry about the delivery method and pricing model and concentrate on getting the appropriate program. Second, you should invest some time to do proper research on the background of the provider and the tool of the product. Otherwise, you may end up paying a high price if the system proves to be a bad fit.

Another important thing is you should always browse the contract and understand the terms and conditions. SaaS agreements are known for clever phrasing, so make sure you know what you are getting into. Do not get chumped into an evergreen contract. Be sure about the renewal terms as well as the notice time required to cancel the renewal.

You will be surprised to learn the gains you can obtain by negotiating cleverly. SaaS software is a competitive market and vendors will be willing to give you a discount to earn your business and continue it. Make use of this chance to save some money.
Realize that the teaser rate is offered only for a short period. Learn about the total fee you need to pay after the initial discount ends. Also, calculate the long-term cost to know what you are getting into.
